How To Use Business Process Mapping

As we all very well know that the primary step in control and management of an organization or business is to Â'learn the ropesÂ' or the basic processes and functioning. A Business Process Mapping can give a visual display of what a business entity does, responsibilities of the people involved in the work place and what and how the work has to be done.

It starts with the final output in mind and takes an input or inputs to arrive at a feasible outcome that would benefit the people such as determining the best measures of performance and also provide fabulous opportunities for improvement.

To create such a process map, it is essential to first determine the initial and end points, as the process map needs to be drawn between these two parameters. A SIPOC technique Â- supplier, input, process, output and client Â- defines the initiation and completion points thereby helping and improving the process.

Therefore, we need to keep in mind that it has to be simple and to the point. It is essential to involve the people who know the process well. There is also the need for you to go through the whole process. Of course, you have to analyze it from one end to the other. The three major steps in Process Mapping are as follows:

1. Begin by identifying all the steps of the process and declare your intention towards creating a process map for the steps and their derivatives to be completed from the starting point for example, point Â'AÂ' to the final point that is Â'BÂ'.

2. Identify and record all the steps and details of the work that people do between steps A and B in short memos. Display those notes on Â'sticky notesÂ' on a notice board or wall showing the progress and highlight the main process with subsequent smaller process maps that give more details like key controls, the risks involved and conclusions derived from the higher goals. This can ensure that every employee understands and matches the flow of activities and his represented responsibilities.

3. The next meeting should be slotted for a detailed overview and discussion of the information. You could also use the opportunity to create Â'quick winsÂ'.

The mapping of this kind can really take the company to newer heights and make it prosper like never before. However, what needs to be remembered is that a Business Process Mapping should guide everyone to better understanding of company goals, highlight individual responsibilities and add value to their purpose of streamlining the project and adding milestones in customer satisfaction.
